WNC Quick Set-up Guide

Turn your equipment on at least 20 minutes before the videoconference is scheduled to begin. Turning your equipment on at least 20 minutes before the conference starts will give you enough time to notify us of any technical problems you encounter.

The telecommunications lines from MAHEC are open as much as 30 minutes in advance of the scheduled start of the conference.

Please follow the following steps in order.

  1. Power System Up
    • Turn the whole system on at the System Power Switch. Diagnostic messages should appear on the System Monitor. The system takes about 5 minutes to perform diagnostics and self-tests.
    • Turn the Second/Graphics Monitor on at the Monitor Power Switch.
  2. Place the Microphone and Camera Presets
    • Before the system has completely booted up, open the cabinet doors on the front of the system WorldCart, slide the storage drawer out, and remove the Keypad and the Look-At-Me Button.

      (To avoid broadcasting ear-splitting noise to other sites, DO NOT remove the microphone until the third step in this process is completed.)
    • As soon as you see the "PictureTel Ready" message on the upper left-hand corner of the System Monitor, press the Keypad’s "MUTE" button to silence the audio. Once you’ve pressed the "MUTE" button, you can move the microphone without sending sound to the other sites.
    • After you’ve muted the audio, remove the microphone—the circular PowerMic—from the storage drawer.
      1. First, unfasten the velcro strip wrapped around the microphone wire.
      2. Lift the PowerMic out of the drawer and place it in a central position in relation to all the participants—for example, in the middle of the conference table.
      3. Be sure the PowerMic is at least 8 feet from the system WorldCart to avoid audio feedback.
      4. To help people avoid tripping over the microphone wire, we suggest that you place a piece of carpeting or other covering over the length of microphone wire that runs across the floor.
    • Program the camera preset positions, using both the Keypad’s buttons and the Look-At-Me-Button as needed.
    • Using the "POINT" and "ZOOM" buttons on the "Near End" portion of the Keypad, position the camera to show a view of the entire room, or as large an area as possible. On the Keypad, press the "SET" button, and then the "SHOW ROOM" button.
    • Using the Keypad’s "POINT" and "ZOOM" buttons, position the camera to show another view, perhaps a close-up shot of one portion of the room. On the Keypad, press the "SET" button, and then the preset "1" button.
    • Repeat Step ii, showing additional views, for presets "2" and "3" on the Keypad.
    • Place the Look-At-Me Button at the seat the presenter or meeting leader will take. Using the Keypad’s "POINT" and "ZOOM" buttons, position the camera to show a close-up of the person at this seat. Then press the Keypad’s "SET" button, and then the large blue dome in the center of the Look-At-Me Button.
  3. Set Up the Equipment Supporting Audio/Visual Presentations
    As needed, set up and test the equipment (for example, the Document Camera, Computer Scan Converter, and Slide Projector) supporting audio/visual presentations at least 15 minutes before the event starts. How to setup

  4. Report Problems
    Now, at least 15 minutes before the event is scheduled to begin, if you cannot see the other sites, please call MAHEC to report a potential problem.
    • To report a problem call the MAHEC video conference support pager at 828-207-2236. (Note: this pager is only active 30 minutes before and during a scheduled event.)
  5. Setting Up the Supporting Audio/Visual Equipment
    Set up and test the audio/visual equipment at least 15 minutes before the event starts.
      Document Camera
    • Turn the power switch on.
    • Remove the lens cap.
    • Press the "Lights" button on the front panel to project a paper document (such as you would use with an overhead projector); or press the "Back Light" button to project transparencies.
    • Place a sample document on the camera table and adjust the focus by pressing the "Auto" button in the "Focus" section of the front panel.
    • Run a test by selecting the "DOCUMENT CAMERA" preview button on the Keypad.
    • Check to see that the image from the document camera appears on the graphics monitor screen.
    • Test the buttons in the "Zoom" section of the front panel. The "Wide" button will zoom out; the "Tele" button will zoom in.
    • End the test by pressing the "MAIN CAMERA" preview button.
      VCR
    • Use the VCR’s remote control to turn the unit on.
    • If you desire to record a session, refer to the separate VCR instructions for specific steps for recording.
    • If you desire to play a tape, then insert the videotape.
    • Use the VCR’s remote control to play tape.
    • Run a test by selecting the "VCR" preview button on the Keypad.
    • Check to see that the videotape is appearing on the graphics monitor.
    • End the test by stopping the tape with the VCR’s remote control, then press the "MAIN CAMERA" preview button.
      Slide Projector
    • Turn the slide projector on.
    • Place the slide tray carousel on projector
    • Use the advance button to select the first slide
    • If the slide projector is attached through the document camera, then press the "INPUT" button on the front of the document camera until that button’s green light is on.
    • Run a test by pressing the Keypad’s "DOCUMENT CAMERA" preview button.
    • Check to see that the first slide appears on the graphics monitor.
    • Adjust the focus and zoom as needed using the control buttons on the slide projector.
    • End the test by pressing the "MAIN CAMERA" preview button.
      Auxiliary Camera (not routinely available)
    • Please contact MAHEC (828-257-4435) for assistance in purchasing or setting up an auxiliary camera.
